How to Write a Painting Estimate
A painting estimate is a summary of a work order for a painting or repainting project. The document provides project specifications, costs, and details the responsibilities of the painter and his or her subcontractors for the project. The estimate may be bundled with a detail sheet mapping out exactly where the paint will be applied, and may include color charts or swatches to identify which paint will be used.

List the painter's or contractor's contact information at the top of the page. Include the name of the company or contractor and the address and phone number at the top left corner of the page, or use company letterhead to begin the document.

List the client name and site address. Include the full name of the client, their contact address and the site address.

List client phone numbers. Include both the home phone or cell number of the client, and the site phone number where the contractor can call during the course of the project.

List estimate details. This will include the job number, the name of the estimator and the estimate date.

Identify the area that the work will be performed in. Include the name of the room, the total wall or ceiling area in square feet and any other areas that will be painted.

Itemize all sections for the project estimate. Create a multicolumn table that lists the following information: item (e.g. wall, door, trim, base); quantity (in square feet); coats; gallons estimate; coverage; materials cost; materials; rate; hours; unit price; and item total. Calculate each item and fill out as much as possible before calculating total hours, materials and the total cost.

List any disclosures or liability information. Create a page or section that includes any insurance information, liability of the contractor, and general information about the validity and accuracy of the estimate.

Create an area for signatures. Leave spaces for the client signature and date, and the contractor or estimator's signature and date. Both parties will need to sign the estimate before the contract is drafted and the work can begin.
