Soliciting businesses for fundraising events can be a daunting task, especially when the economy is suffering and merchants are getting less generous with their donations. After you've managed to get a donation and the fundraiser is over, be sure to write an effective solicitation thank you letter to show your appreciation for your merchants' generosity.

      Keep it simple. A one-page letter is more than enough to get your message across and more apt to get your reader's attention.

      Use letterhead. A solicitation thank you letter should be printed on paper that has the school or organization logo, address, and contact phone number for a professional appearance and good impression.

      In the first paragraph, thank the merchant for their donation. You can keep it general, for example 'St. John's School would like to thank you for your generous contribution of goods and services to our April 1, 2009 fundraiser, "A Taste of Spring".

      In the second paragraph, briefly tell the merchant about the success of the fundraiser. For example, 'Our parents and friends enjoyed a wonderful evening together. Your contributions helped make our event a huge success. We were able to raise $20,000 that will go towards putting Smart Boards in our classrooms. Your generosity will go a long way to better the education of the children of St. John's School.'

      In the third paragraph, remind the merchant that their donation is 100% tax deductible and include your school or organization's federal tax id number.

      In the fourth paragraph sign the letter with the committee name and contact information, for example 'St. John's School Home and School Association and the 2009 Taste of Spring Committee'. It might be a nice touch to have the committee chairperson hand sign the letter as well.
