Step 1
Start with the salutation. If you’re writing to a friend or family member, you can address them as Dear and the name you would use when speaking to them, such as “Dear Joyce” “Dear Grandma” “Dear Aunt Nancy” etc. If this is a business or formal thank you note then the proper address is Dear Mr. (Mrs. or Ms.) or title such as Reverend, Dr. etc. and the last name. If the note is informal and you’re writing to someone you don’t feel comfortable addressing as “Dear” then it’s okay to just address them by their name: “Joe” “Charlie,” etc.

Step 2
Next write something like “Thank You for…” or “I appreciate…” or “I want to express my gratitude for…” and then specifically mention what you are thanking them for (“the lovely candlesticks you gave us for our wedding,” “your generous donation to our school,” etc..). It’s okay to use adjectives. Just keep them real and not too flowery.

Step 3
Next state something specific that you appreciate about the gift. (“the color matches my eyes,” “I’ve been wanting to read this book,” “I hope to try some of the cookbook recipes soon,” “your donation helped to make possible…” etc.) Be honest here. If you hate the gift and really can’t think of anything you appreciate about it, then focus on the thought behind the gift. For example: “I really appreciate that you always remember my birthday” or “Thank you for thinking of me on my graduation.”

Step 4
Close with a simple “Sincerely,” or “Sincerely Yours." For an informal note to someone you’re very close to you can use “Love,” or another term of endearment.

Sign your name, and mail your thank you note.
