Microsoft Outlook is a wonderful calendaring program. The ability to schedule multiple appointments plus reoccurring appointments makes the art of calendaring fun and exciting. Never again forget that you have a doctor’s appointment or that Aunt Clara’s birthday is June 1st.

Instructions

Things You'll Need:

  1. Step 1

    The first thing you need to do before scheduling an appointment is to know all the details about the appointment. Gather the who, what, where, when, details and be ready to key them in. Is this a reoccurring appointment? Or just a one time deal?

  2. Step 2

    Now, open the Outlook calendar. Click on the new appointment button. Or you can use the keyboard shortcut of “control N.” Another way to open the appointment box is to go File, New, Appointment. Any of those three ways will open the appointment box.

  3. Step 3

    Once the appointment box is open, title your appointment. Choose the category it belongs to and enter the location. In the body of the appointment, enter any pertinent details about the appointment. Select a start time and end time. Determine if you want a reminder. Choose how to show the time, i.e. free or busy.

  4. Step 4

    Click on the scheduling tab. In this area, you can invite others if your program allows. If you wish to schedule a reoccurring appointment, click on the reoccurrence button. The categories are daily, weekly, monthly, or yearly. You would use yearly for birthdays. You will also have options to choose the fourth Tuesday of the month, or the 10th of every month, or so forth.

  5. Step 5

    Once you have completed entering all the information you would like in your appointment, click on save and close. You now have an appointment in your calendar.

Tips & Warnings
  • Drag and drop an email from Outlook into the calendar. All the information in your email is there with the exception of any attachments. This can save you time in typing. You can copy and paste attachments into the body of an appointment.
  • The more attachments you add to your appointments, the more space your calendar will use.
