Step 1
Target the newspapers. If your news is local, send the release to the local papers via fax and email. If it's national, you've got more work to do. Figure out which print newspapers you want to target. I always send releases electronically and fax them in. If you've got a good relationship with anyone at your local paper, you can probably bring in the release.
What I like to do is my homework--find out the reporter's name who covers my topic and put it to his or her attention. Since I issue out regular releases on similar topics, I've gotten to "know" some people so that my releases are welcome. -
Step 2
Use the Web for contacts. Now it's time to determine what online resources you can use to send your press release. Many news websites have staff listings. As I said, I fax and email my releases and always try to find a contact name so that things don't get tossed in the slush pile.
One advantage to emailing your release is that some reporters prefer to be able to copy and paste material, which is a real snap when they have your information electronically. -
Step 3
Consider a PR service. If you've got the money, you can use avenues like PR Newswire to distribute your release. Some services are free, but if you want optimal distribution you'll wind up paying for it. If you can afford that, it makes your life a lot easier and will save you tons of time.

Step 4
Look into trade publications. When a client asks me to distribute a release, I always come up with suggestions for them to submit their release to a trade publication in their industry. This is a great way to get exposure and stay on top of your industry.
