There are many reasons in life in which you may have to write a letter of complaint. You may write a letter of complaint from everything from a defective product, poor service, or a negative situation that happened. Here is how you can write a proper and effective letter of complaint

Things You'll Need:

  • Standard letter paper
  • Envelope
  • Computer
  1. Step 1

    A letter of complaint should be formatted in a formal business-like letter. Include a heading, the inside address (the person or company you are writing to) and a salutation (Dear...).

  2. Step 2

    Describe the problem for which you are writing the letter of complaint in the first paragraph. Answer the questions when, where and how. If you are writing about a defective product make sure to include model or serial numbers. Be very specific about the exact problem and how it inconvenienced you.

  3. Step 3

    In the next section of your letter of complaint, describe the attempted solutions. If you have already tried to solve the problem at hand, then let the reader know. Write down exactly what you did to remedy the problem.

  4. Step 4

    In the last part of your body of your letter of complaint, explain what solution you would like. Do you want a refund or a new product? Do you just want an apology, or do you want a change in a procedure or policy? Make sure you are specific to what you really want.

  5. Step 5

    Sign your letter of complaint, Sincerely, then your full name. Include any other pertinent papers such as receipts or copies of checks with the letter.

  6. Step 6

    Address the envelope correctly so that it is delivered promptly. Make sure that you inlcude your return address on the envelope. And always make sure that you place a stamp on the envelope.

Tips & Warnings
  • Make sure that you are being specific about everything in your letter. Be sure to include specific people, places and items if needed.
