How to Create Envelopes in Microsoft Word 2000

Microsoft Word has a useful feature that simplifies the process of creating envelopes. It has a few ways you can achieve this. Envelopes can be made for one recipient or you can create several at a time that can be used for mailing lists. Any one can complete this easy process in only a few minutes for each envelope. All that you need is the information needed to address them and you can even use your address book for this. The following steps detail the various ways you can create envelopes using Microsoft Word 2000.

      Create envelopes for specific letters you write. Once you complete a letter, you have the opportunity to generate an envelope using the information you have typed in the letter. If you have addressed the letter using both the delivery address and return address, you can make an envelope without inputting any additional information. Click on “Tools” and then “Envelopes and Labels…” to verify the addresses. Click on “Print” to print the envelope.

      Use the wizard to address one envelope. When you only need to create an envelope without writing a letter first, you can utilize the wizard to accomplish this. Access Microsoft Word. Choose “New” below “File” to get to the templates supplied. Click the “Letters & Faxes” tab shown. You will notice a variety of templates to pick from. This includes one titled “Envelope Wizard”, click on it and then “OK”. The default setting is selected (Create one envelope), click on “OK”. Fill in the information needed for the “Delivery address” and “Return address”. Click on “Print” to print the envelope.

      Address several envelopes for a mailing list. You can create several envelopes by following directions provided in Step 2, but change the selection from “Create one envelope” to “Create envelopes for a mailing list”. You will have options to fill in on the “Mail Merge Helper” box that appears. You will have to select the document (if not already opened), data source and whether you want to merge the data with the document. Make your selections and follow the directions provided to complete.

      Change the envelope or printing options. Prior to selecting “Print”, you can change the settings for your envelope or printer. Click on the “Options” button. You can alter the size of envelope used and the location of the addresses on it under the “Envelope Options” tab. The “Printer Options” tab permits you to change three things: the specific printer used, the feed method and where the envelopes “feed from”. Choose all of your settings and then click on “OK” and then “Print” to print the envelope(s).

Tips & Warnings

  • Once you create an envelope in Microsoft Word, it will keep the information for future use. If you need to change your return address or if you use two different addresses (business and personal), it will ask you if you want to keep the new address as the default address. You can change this information at any time or use data from your address book to place addresses in either the return or delivery part of the envelope.
