Step 1
When I begin planning my reunions I usually begin by sending out a family newsletter. In this newsletter I will usually attach a family reunion ballot. In this ballot I keep it simple. The recipients are only asked do you or don't you think a reunion is a good idea. Then I ask that the ballot either be mailed, faxed, or emailed. In the following edition I post the results.

Step 2
Now here are the positions that I try to encourage my family members to fill. Usually I take the President of Reunion Affairs. Next I try to fill the VP, Treasurer, & Communications Coordinator.
Each of the above mentioned positions will allow you to make sure each aspect of the reunion is taken care of. -
Step 3
The treasurer should set up an account at a local bank, or online at paypal, getting their debit card. Now figure out to the penny as closely as you can the cost of the reunion, and divide that by the number of attendees. Try to figure in food if you can, accommodations, etc. Then if for example its $10 charge $20. This will help cover the supplies for newsletters, and extra expenses that may arise. Give your family the opportunity to take a refund, or to leave the extra funds after the reunion in the account for the next reunion, or continued costs of the newsletter.

Next check out the location you all have selected for
* picnic benches
* shelters (gazebo)
* bath house
* dump stations for rvs
* electricity for rvs, music, slide shows, pcs etc
Check into maybe a coke hotdog cart or Pepsi. These are great for keeping things refrigerated, and the ease of cooking if you use electric grills. Also large soda coolers from these places too for the drinks. Kags for tea, and lemonade, etc. Be elaborate, be simple it's all up to you. If your family is redneck like mine (minus me) make it geared that way, if they are well off and sophisticated gear it that way.
