How to Create and Use Signatures in Outlook 2007

The article below shows you how to create and use signatures in Outlook 2007.

Instructions
  1. Step 1

    In Microsoft Outlook, click on the "Tools" menu and select "Options".

  2. Step 2

    When the "Options" box displays, select the Mail Format tab and click on the "Signatures" button.

  3. Step 3

    When the "Signatures and Stationary" box displays, click on New. You will be prompted to name your signature. Enter a name and click on OK.

  4. Step 4

    You will notice that the signature displays in the "Select Signature to Edit" section. In the text field below, enter the signature you would like displayed. You can edit the format, font, and color of your signature by using the provided toolbar.

  5. Step 5

    Once you have set up your desired signatures, click on OK to exit the "Signatures and Stationary" box and then click on OK again to exit the "Options" box.

  6. Step 6

    Outlook 2007 allows you to create multiple signatures for use. With the "Delete", "New", "Save", and "Rename" buttons provided, you can add, remove, and make changes to your signatures.

    Additionally, you can set a signature as your default signature by selecting it from the drop down menus in the "Choose Default Signature" section. This is particularly useful if you want a particular signature displayed for new messages and a different signature displayed for e-mails that you reply to or forward. If you want to pick what signature is used in each e-mail, select "None" from both drop down menus.

  7. Step 7

    To see your new signature in action, simply create a new message in Outlook. The signature should automatically appear.

  8. Step 8

    If you opted to choose which signature you wanted to display, create a new e-mail message and click on the "Signatures" button located in the "Include" group and select the signature you would like to use from the drop-down menu provided. (See screenshot for example.)

Tips & Warnings
  • When you create a new message, if the signature you want does not appear, go back to the "Signatures and Stationary" box and make sure that the signature you want is selected from the drop-down menu under "Choose Default Signature".
