How to manage a hectic schedule
Focus. That is the chief requirement to manage a hectic schedule. If you want to accomplish anything, you have to set about doing it and eliminating any distractions.

- electronic calendar program such as MS Outlook or Google Calendar

Analyze your day for distractions. Think about all the things you need to get done and/or want to get done. Now think about all the things that prevent you from accomplishing those goals; sometimes a time log can help track what you are actually doing all day.
Now set about implementing the following personal guidelines. -

Only check email twice a day; at 11:30 AM and again at 4:30 PM

Only respond to email once a day at 4:30 PM

Do not answer the phone, check voicemail right after checking email

Respond to voicemail on an "as needed" basis, but try to limit calls to 1 hour a day, such as from 3:30PM to 4:30 PM

Use your electronic calendar to schedule time for the tasks you want to accomplish based on your estimates-no one can schedule a meeting if you block out your calendar for (legitimate) task accomplishments

Tips & Warnings
If you are expecting a call, of course you should answer your phone; but if you have a caller ID display try to use it to screen calls at that time.
Make sure that you communicate your plans to your bosses and peers; miscommunication can lead to a perception that you are unresponsive to the needs of your organization. Not good! I have used these guidelines for over a year, and I have not had any trouble; especially since I get so much more done now!
