Knowing just how to create, address and format a business letter can be challenging. You want your letter to have a professional appearance. You might have pre-printed letterhead you need it to be printed on, so the margins need to be just so. And how do you go about noting enclosures or adding a reference line? If you are not certain, use these steps to write a business or personal letter that is just right.

      Open Microsoft Word by double-clicking the Word shortcut icon on your desktop or by clicking "Start," pointing to "Programs" or "All Programs" and then finding Word in your programs list.

      Click "File" on the toolbar and then click on "New." The "New Document" task pane will open. Under "Templates," click "On My Computer." The "Templates" dialog box will open.

      Click the "Letters & Faxes" tab. Click the "Letter Wizard" icon and click "OK". A new document will open, and you will be asked whether you want to send one letter or send letters to a mailing list. Click "Send One Letter." The "Letter Wizard" will open.

      Select the "Date Line" check box if you want to add a date to your letter. Choose the date format you want from the drop-down menu. Choose a page design and a letter style. If you are printing on pre-printed letterhead, check the "Pre-Printed Letterhead" box and specify where your letterhead is positioned (top or bottom of the page) and how much room the printed letterhead uses. Click "Next."

      Enter your recipient's name and address. Choose a salutation and click "Next." If you wish to add a reference line, mailing instructions or any of the other options listed, select the appropriate check boxes and click "Next."

      Enter your name and return address if desired. Choose a complimentary closing from the list of options and any other applicable options and click "Finish." Type the contents of your letter as desired.

Tips & Warnings

  • The letter wizard also gives you an option to make a mailing label or envelope if desired. Simply click on your choice after clicking "Finish" and follow the steps.
