How to Print PowerPoint

Sometimes when you use PowerPoint software you may want to print out your presentation. Some of the reasons you may want to do this is because you may want to print handouts for your audience to look over later as a reminder of what you have talked about. These handouts may include facts and figures that the audience will need to remember. These handouts also come in handy to those who may not see as well from a back row. You may just want a print out of your PowerPoint presentation in case you lose saved information on your computer.       Log on to PowerPoint and pull up the file that contains your PowerPoint presentation. Look it over to make sure it is just the way you want it. Make any necessary adjustments to the presentation.

      Click on “File” and look on the drop-down menu for the word “Print Preview.” Click on “Print Preview.” You will switch to a large screen titled “Print Preview.” You will then see your first PowerPoint presentation slide.

      Click on the arrow next to the white box which is located at the top of the screen. It is labeled with the words “Print What.” Decide how many screens of your PowerPoint presentation slides that you would like to print on a single sheet of paper. If you would like to print each PowerPoint slide on a single sheet of paper then in the white box next to “Print What” leave the word “Slides.”

      Click on the word “Print.” In the print range box click the circle next to the word “Slide” and in the box next to it indicate how many PowerPoint presentation slides you would like to print, for example slides 1 through 4. In this example, slides 1 through 4 will print each on their own sheet of paper. Click “OK” to print these.

      Click on the arrow next to the white box. If you would like to print two or more PowerPoint slides on one sheet of paper then choose from the drop-down box which number of slides per sheet of paper you would like to print. Again click “Print” and then “OK” and your PowerPoint presentation will print out.

Tips & Warnings

  • Under “Options” you can apply frames around your PowerPoint slides.

  • You can also change the format to landscape view. This option is at the top labeled by the letter “A.”
