How to Scan a Document

Many of us now have multi-functional printers which will not only print but also make copies, send faxes, and even scan documents. Scanning a document is a fairly quick and easy task to accomplish once you are familiar with the process. These tips will show you how to scan a document with comfort and ease.

      Line the document up in your scanner. There are typically guides on the side of the glass to help you get your document into place. Remember to put the side you wish to scan first facedown in the scanner.

      Push the scan button on your printer or scanner. This should open a dialog box on your computer presenting you with several options and settings.

      Choose your settings and options. Click “Preset Options” then choose “Create New Preset” or “Edit Selected Preset” for advanced settings. If your document is double-sided, select “Original is Double-sided” and you will be prompted to turn your document over to complete scanning. If you simply want to scan multiple pages into a single file choose “Prompt for Additional Pages,” and you will be prompted when to scan the next documents.

      Pick your color settings. Select either “Black and White from Color” or “Color” from the “Select a Preset for Scanning” options list. This will depend on what kind of document you are scanning. For instance, if you are scanning a photo you will most likely choose the color option.

      Save your scanned image(s) for later use. Simply select the drive or folder you would like to store the scanned documents in, and give the file(s) a unique name. Now you can use the scanned documents again and again for uploading, emailing, or on your web page.
