Leave your email messages on the server. Most of us use POP 3 access for retrieving email messages from multiple accounts. If you are currently using Microsoft Outlook, then try to avoid erasing these important email messages from their original server location. Once you leave these email messages on their server location, you'll be able to download them much easier to other locations.

Access the POP 3 settings of each one of your email programs. When setting up the POP retrieval for the first time, remember to change the default erasing method. Enter the account settings option from the Microsoft Outlook tool menu. Select “change email account” and then enter the advanced tab of Internet email settings to make your necessary changes.

Copy your entire PST file from Microsoft Outlook. Although this may be a more time consuming task, it still works very good when working with several computers. Place your copied file onto your online storage system or a removable media drive. Once you have completed this step, copy the file to your desired computer system and choose a folder to save it to.

Choose a folder to copy your PST file to. The best way to find an appropriate location for your PST file is to open Microsoft Outlook, choose account settings on the tools menu, and then select the “data files” tab. The entire path will be shown to you, but some components may remain hidden. You can easily change this view by accessing the “control panel” on your computer and changing the “folder options”.

Create a secure password for the PST file you have just copied to a computer. This will prevent unauthorized access to your personal email information. Select the “account settings” on the “data files” tab, choose the personal folders option, and then select “change password”. Since you do not have a password already saved in this area, leave it blank. Type a brand new password in the appropriate field and then verify it by typing it again. Select the “ok” button when finished and then you're done. Every time you open Microsoft Outlook, it will automatically prompt you to enter a password before having full access.
