Creating a basic hard copy press kit can be a daunting task for those that are unfamiliar with today’s media and marketing standards. Creating an electronic press kit may sound even more intimidating, but by many standards is just as simple to create, faster to transmit, equally effective and more cost efficient than the hard copy versions. The content of an electronic press kit is very similar to a hard copy press kit but is stored, distributed and presented differently. While hard copy press kits are still used today, it is important that business owners, marketing professionals and various organizations are familiar with creating and distributing an electronic press kit. Follow the steps below to create your own electronic press kit!

  1. Step 1

    Establish press kit content. You need to be sure to include general information about your business/organization, Company/Organization timeline your mission statement, company honors and rewards, upcoming events, fact sheets, and previous press clippings.

  2. Step 2

    Create an electronic letter head template for all files with computer applications such as Adobe Acrobat or Microsoft Word. The letter head template will be used as the foundation that the above information will be displayed on. Letter heads should be created using a high resolution design, which accurately represents your brand or company image in a creative and professional manner. High resolution designs (300 dpi) are necessary to eliminate blurring and ensure a continuous flow throughout the kit.

  3. Step 3

    Construct your press kit information by formatting the information from Step 1 in a thorough, concise style that is visually appealing. Be sure to check spelling and grammar before saving. This step should include adding links to specific websites or emails of significance. If your organization does not have a creative writer on staff, outsourcing the work to a creative writer would be beneficial.

  4. Step 4

    Transfer all of your constructed material onto the letterhead template. This is as simple as copy/paste the information from the file onto the letterhead template. As in the step above, proofread for errors in format that may have occurred during the copy and paste process.

  5. Step 5

    Save and create locked and editable versions of all material: Be sure to save and editable version of your created material each time you change or update the information but only distribute a “locked” version, to avoid any altering of your material by an outside party.

  6. Step 6

    Compress all press kit documents by “zipping” them into a single folder titled Press Kit. This will make the uploading, downloading and transmission of the information quicker and easier to find.

  7. Step 7

    Make your press kit available. Depending on your dissemination decision, you should either upload your press kit to a website or send it via email to the intended recipients. While sending the press kit by email will ensure awareness by the recipient, it is always smart to back up the sent press kit with one that is permanently posted on the web, in case the recipient accidentally loses the email or does not receive it at all. Making the press kit available on your website also creates an opportunity with media outlets and other interested parties you may have overlooked when deciding on your audience.
