How to Communicate Effectively in Business Management

Whether you're a business owner, manager or supervisor, clear communication is the best way to increase customer satisfaction and ensure your staff gets a job done properly. Use these management basics to create effective guidelines and help your team operate quickly and efficiently.

1. Tailor your communication style to each employee. Although some prefer detailed instructions and need to brainstorm ideas before they start, others work best with a concise project email and time alone to complete their duties. Similarly, some clients prefer frequent updates and discussions, while others don't want to hear from you until you're done.

2. Hold progress meetings throughout the course of the project to assess the team's performance and make adjustments to the deadlines and duties. Schedule additional meetings with the client to keep her apprised of the project's status, if she requests that you do so.

3. Be as positive and encouraging as possible when giving performance reviews to keep employees motivated. Rather than just criticizing what they're doing poorly, offer clear steps to help them complete tasks more efficiently.

4. Take complaints from clients or employees seriously. If you've failed to deliver on a promise or made a mistake, find a way to rectify the situation, compensate the customer or institute a new, more effective system. Small complaints may seem trivial, but they can cause dissension on your staff or affect your business's reputation.

5. Insist that your management staff members have an open door policy so everyone knows supervisors are available to discuss problems, provide feedback and evaluate project performance. Try to answer customer emails promptly and all other inquiries within the same work week.
