Step1
Screen phone calls - Screening your phone calls can be huge time saver. Why? Because by screening your calls you can save a lot of time by handling them all at once (batch tasking). This will allow you to simply delete any unnecessary messages, such as telemarketers, and avoid what would have typically been wasted time and idle chatter. When you do call the person back, you will now have all the information you need to get organized and tightly answer any questions they might have in far less time. I can typically respond to the same number of phone calls in half the time or less by simply using the screening process. People are also very impressed with how quickly I got back to them and how prepared I was when I responded to their call. Nothing is so rare as a timely and prepared callback to a voice message, it will be much appreciated and build your reputation is caring, professional and highly responsive.
Moreover, phone calls can be a constant source of interruption which seriously messes with our focus and learning curve, both of which can cost you a significant amount of time. Many times you will find that if you have your receptionist review your voice mails, or take detailed messages, they can often respond to the person with the need information even more quickly than you can for typical and basic questions and information needs. Why would a CEO or busy executive need to call someone back to let them know such basic and mundane information as your e-mail address, fax number, website address, office hours, etc.? You would be surprised at how many calls your secretary can field. Many times when I would need information in a large company I would go to the secretary, rather than the person the secretary worked for, because the secretary was more likely to be able to give me the right information and do it quickly. Most secretaries are fantastic with details and information.

Utilize “Dummies” Books and Video Guides for Fast Learning - Want to learn something fast? The “Dummies Series" was created for you. Don't be thrown by the title "Dummies" - only smart people are intelligent enough to use these readily available resources and make the most of them. They are also fairly comprehensive and what they cover, rarely will they be missing anything you truly need for your work. I like that I can easily skip around in these guides. This allows me to quickly learn the few key skills I need now and go back for the rest later. Many books for shoe to read them cover to cover to get the information you need - but not "Dummies," they have made their books truly user-friendly.
Video guides are also an awesome productivity tool. I personally have used "Video Professor" and found it very useful. Many people have learning styles that just work better by being shown, rather than reading - nothing wrong with that - work with it! Videos are huge now, especially sense DVDs are so much easier to copy them the old VHS style videos. Some trainings can you be done in a video format online. I have also sold video rights to very companies to show the videos of trainings I've done for them live, so that new employees can get these tools as part of their incoming orientation.

Voice Recognition Software - This software is, long way in the past 10 five years and is finally where it needs to be as an efficient tool, and will only get better over time. I do a fast hunt and peck of about 25 words per minute. But with voice recognition, I can do about 50 to 60 words per minute. This is a huge time savings and creates a more natural flow when getting words out onto paper. People who are very clear speakers can get rates of up to 80-100 words per minute realistically. Within the next 10 years I don't think many people will type anymore and the keyboard will likely be gone. Get a jump on this trend and reap a huge benefit in time savings. FYI - this entire book was written with voice recognition software (you don't think I actually typed this book did you?)

Learn to Speed Read - I wish I had learned this tip before I finished the bulk of my college education. This one tip might have given me back a year or so of my life. In today’s competitive society it is hard to keep up with all the information pouring in unless we can speed read. People are also very impressed with speed readers and see them as more intelligent (simply because they can’t do it). I used a software program called “Eye-Q” - it currently sells for around $200, and is well worth the price. You can buy a Deluxe Edition for about $250 with 10 licenses. This entire course is 12 sessions of 7-minutes each! Do the math, you’ll be speed-reading in under an hour and a half worth of training. With this amount of training, it’s typical to double your reading speed, some people do significantly better. The other course to try is the classic Evelyn Woods program, but it’s slower (and I hate that!) You can attend a class either in person or online, or you can buy a DVD and video set, but it is very expensive (I hate that too!) (approximately $700).
