How to Make a Spreadsheet in Excel

Spreadsheets are handy programs to have. You can use them to for an address book, check registers, budgets and to keep track of work you do. They are handier than word processors since you can easily add or rearrange columns and rows. Follow the steps below to make a spreadsheet in Excel that you can use for as an address book.

      Open up Excel and make sure you have a blank spreadsheet. Save the spreadsheet and call it "Address Book." Make sure you save it frequently as you work, so you don't lose any data.

      Go to cell "A1" and type in "First Name."

      Go to "B1" and type in "Last Name." Continue across row 1 and type in "Address" in "C1," "City" in "D1," "State" in "E1," "Zip Code" in "F1" and "Phone Number" in "G1."

      Start entering the data in cell "A2." Type in the information for each person you have. If you have the information in a regular address book or on pieces of paper, you can now organize them in a spreadsheet for future reference.

      Continue to enter the data into your spreadsheet. If you enter data for "Tom Jones" in your spreadsheet and then find new information later, you can just type over the information that is there. No reason to delete the information and start over, or cross things out like you would do on a piece of paper. You can see how easy using an Excel spreadsheet is.

      Save your spreadsheet when you are done. Then do a sort on the data. This means you highlight all the data in your spreadsheet, go to "Data" and "Sort." You can then pick which column you want to sort by, normally "last name" which would be column "B." Then press "OK" and the data will sort. You can then look at your list of names and see if you have information listed for the same person in more than one row. You can delete or edit the information that is not right.
