How to Create and Attach a Virtual Business Card in Outlook

In the business world, professionalism reigns. Having an Internet presence is a must and a virtual business card (or vCard) is an easy way to do it. A great feature that Microsoft Outlook offers is the ability to add a virtual business card to an email signature. It's visually pleasing and easy to do. That way, every time you send a business email, your card is there to make it simple for a client to remember your contact information. This is a great way to keep business hopping. Follow these simple steps to get a professional looking virtual signature for your email.

Step1
Add yourself to the contacts list. An easy way to do this is to send yourself an email, then add your information to the contacts list.
Step2
Go to the contact information, look for a "Business Card" button. Click on the card icon.
Step3
Fill in the fields as you would like your business card to appear. A great way to dress up the card is to use a graphic file of your company's logo (such as a *.TIFF, *.JPG, etc.). This graphic can be added to the file at the top of this same screen. Click on "Change" image and browse for your file. Click "OK" when you have the business card designed as you want, then click on the button "Save & Exit." This should save your card.
Step4
Go back to the main menu bar, select "Tools" then "Options". Choose the "Mail Formats" tab and click on "Signatures" Select "Signatures" and pan down to the lower right and choose "Business Card". Move the mouse over the signature file name and click to select, then click "OK." Click "OK" again to save your changes.

Tips & Warnings

  • The person receiving your email can click on your virtual business card and it will add to their contact information automatically.
  • When sending a business email, you can add a co-worker's vCard just by clicking on the contact information, then choosing "Forward as vCard" from the Actions menu. This allows your client to have everyone's information at their fingertips.
