How to Use a Fax Machine in the Office

Fax machines have been around for decades and are one of the most useful inventions of the 20th century. With only a phone line you can transmit printed information from one fax machine to another, anywhere in the world. Even with the ability to send documents by email, fax machines are still necessary since phone lines are still more common than computers with scanners.

Instructions
  1. Step 1

    Fill out a cover sheet including the person you are sending the fax too, his fax and phone numbers, your name, your fax and phone numbers, a message to the person receiving the fax, the date and the number of pages you are sending, which includes the cover sheet. If you are sending three pages and a cover sheet, list four total pages.

  2. Step 2

    Fill in the logbook, if required, at your office. Most companies want to be sure that you are using the fax machine for office work.

  3. Step 3

    Put the pages into the fax machine with the cover sheet facing you.

  4. Step 4

    Dial the fax number for the person you are sending the documents to--be sure you use her fax number and not her phone number.

  5. Step 5

    Press the send button and the machine will send the documents to the person you have dialed. Wait until all the pages have gone through and you receive confirmation. You can then call the recipient to make sure he not only have received the documents but that they are legible.
