A wireless conferencing machine lets you forgo the messy cables while still bringing quality audio and video conferencing to your meeting room. You should select a machine that provides you with the features you need, while maintaining your organization's budget.

Instructions

Difficulty: Easy

Step1
Discuss conferencing with your staff, deciding if video is needed or if an audio machine will suffice. They should have an idea of how the equipment will be used and if outside clients or remote staff will benefit from video capability.
Step2
Get quotes from several suppliers to see how wireless technology fits into your budget. You may decide that a partially wired solution may be more affordable or offer more features.
Step3
Select a central speaker and microphones with a wide range to avoid having to pass a microphone or provide earpieces. If you have a large room, consider using Bluetooth accessories to complement your machine. These will not interfere with your wireless network and let participants use their own earpieces and cell phones. Just make sure you pick a Bluetooth compatible system.
Step4
Consider making your conferencing machine mobile. This makes the most of the wireless technology. The system mounts to a wheeled base that can be rolled where it needs to be used. Whether shared between conference rooms or needed in different parts of your facility to provide remote training, a mobile unit gives more departments a chance to utilize the machine.
Step5
Choose CIT machines to take your wireless conferencing mobile (see Resources below). The XVIC model brings live conferencing to any room in your organization. CIT also sells systems that use streaming video for a less expensive, lower bandwidth solution.
Step6
Pick the SoundStation2W from Polycom for a wireless solution (see Resources below). The sound quality compares to the wired SoundStation equipment and can be used to provide audio for computer video calls.
Step7
Select Clearone's innovative MAXAttach Wireless, which uses two wireless phones to bring conferencing to a larger room without larger equipment (see Resources below). The MaxAttach builds off the crystal clear quality of the award-winning MAX wireless.

Tips & Warnings

  • As wireless technology advances, conferencing machines will utilize a combination of Wi-Fi and Bluetooth to provide service. Unless you can afford to dive in now, you may be better off buying a less expensive unit and seeing where the technology goes in the near future.
