How to Create Computerized Forms

Making computerized forms is done for several reasons. One reason is that computerized forms help reduce the time it takes to reprocess and read through paper forms. Another reason is that computerized forms eliminate the need to make excess individual copies of paper forms. Finally, computerized forms enable the user to reuse the electronic template infinite times without worry about damage, lost or error. Read on to learn how to create computerized forms.

  • A computer
  • MS Word, Adobe Acrobat or MS Office Suite
  • Rough copy of your form
Step1
Decide on a form. Not every office job requires the use of the same form. In most office jobs, there are emergency forms, request to fill forms, request to travel forms, among others. Many of them must be filled out, recorded, and placed in a file drawer by the administrative assistant or office secretary. For the purpose of this article, we are going to create a business or office letterhead. In doing so, we need the symbol or seal of the organization, the address of the office within the organization, the date it was drafted, and the contact information of the person. From there, we need the contents of the letterhead, the closing and salutation. All of these items are needed to turn a letterhead into a master template.
Step2
Create the form. In your program, create a blank form or click the white page icon that says "New Blank Document." Go up to the ruler and click on square icon that says "Center." Click on "Insert." Go down to "Picture" and click on it. Go to "Clip Art" and click on it. Find the picture icon for your company or go to clip art online and find it. Once you have found the icon, reshape it until it fits your size requirements. Click "Enter" twice. Insert the address of your company by typing it in. Next, type in the word "Date." Go up to "View" and click on it. Go down to "Toolbars" and click on it. Go to "Forms" and click on it. The forms menu should appear above. Go the square icon with the lower case “[AB]” (text field) in it and click on it. Create four text fields: "Name of the Contact Person," "Name of the Organization," "Name of the Address," "Name of the Office Numbers or Suites." Click "Enter" twice. Type in "Dear" and click the “[AB]” square icon. Click on the “[AB]” square icon again for the body. Go down and type in "Sincerely." Click on "Enter" twice. Type in your name. Move up one space and click the “[AB]” square icon, so you can enter your signature anytime you want.
Step3
Repeat the process and add some modifications to create different types of forms for office use, personal use or for research purposes. Get to know your "Forms" menu. You will never know just how lucky you have it until you have worked with it and can maximize its potential and advantages.
