How to Send Invites for a Fourth of July Picnic

If you are in charge of organizing a fourth of July picnic for a large group of people, you will need to let everybody know when and where to meet. The easiest way to do this is to send invites, either via the Internet or through the mail. There are, however, other options, depending on how much time you have before the actual picnic day.

  1. Step 1

    Make phone invites if you are organizing a last-minute fourth of July picnic and need to confirm on the spot if somebody is coming along or not.

  2. Step 2

    Buy and send traditional fourth of July invites. You can find a large selection of paper invitations at party supply stores, toy stores and even local shops. Choose traditional fourth of July designs or get cute illustrations, depending on the atmosphere you want to create for the picnic.

  3. Step 3

    Send virtual invites. Companies such as Evite allow you to reach everybody for free (see Resources below). Evite not only has themed invitations, but also provides you with extras such as maps, tips on party organization and decorations and even an online shop to get party supplies.

  4. Step 4

    Use virtual invites to reach coworkers and acquaintances regarding a fourth of July picnic organized by your company. Not only are virtual invitations more formal, but they also allow people to have an easy way out if they don't want to confirm or decline right away.

  5. Step 5

    Mail the invites with time and give people the chance to RSVP. You can do that by including your email or phone number inside the invitation or providing a paid postcard inside the envelope, so people can return them with their answers.

Tips & Warnings
  • When using emailed invitations, make sure you address them correctly. To avoid mistakes, you can upload your address book directly to the website offering the invitations and then choose the recipients by clicking on their names.
  • You can send out group invitations by choosing that option before sending your online invites. This is useful if you are not personalizing the invites but are just sending the general information out.
  • If you are sending e-invites and haven't heard back from guests within a few days before the picnic, send a reminder. Emails can end up in spam folders and not reach their destinations in time.
