How to Create a Catalog Merge in Publisher

You may have created mail merges in Microsoft Word. But did you know you can use what is called a Catalog Merge in Microsoft Publisher? This feature is helpful if you want to send out a mailing of a newsletter, brochure, catalog, or other publication that displays one or more items per page. The following steps will show you how to create a Catalog Merge in Publisher.

Things You’ll Need:

Step1
Click “File” from the toolbar and then click “New”. In the “New Publication” task pane, click “Blank Print Publication”. To set the page size and orientation you want for publication, click “File” and “Page Setup”. In the “Page Setup” dialog box, select your options and click “OK.”

Click on “Tools”, point to “Mail and Catalog Merge”, then click on “Mail and Catalog Merge Wizard.” In the “Mail and Catalog Merge” task pane, under “Select a Merge Type” click “Catalog Merge” and then click “Next: Select Data Source” to continue.
Step3
Under “Select Data Source” click “Browse. Navigate to your mailing list and click “Open” and then “OK.” In the “Catalog Records” dialog box, select, deselect, or sort your records. Go back to the task pane and click on “Next: Create Your Template.”
Step4
Insert your desired merge fields into the “Catalog Merge Area” by clicking on them one at a time in the task pane. To rearrange or move them, simply drag the text boxes the fields are contained in. You can also format the font here; it will affect your merged data. When you are finished, click “Next: Preview.”
Step5
Make any finishing touches or adjustments, and then click “Next: Complete the Merge.”
Step6
In the “Mail and Catalog Merge” task pane choose “Create New Publication” or “Add to Existing Publication” and complete or print your publication.
