How to Create an Event Calendar Listing

If you are in a position where you need to write up a flyer, or create a calendar of events, you may at some point need to write a listing. Here is a guide to an easy way to present this information to the public.

Instructions

Difficulty: Easy

Things You’ll Need:

  • Computer
  • Event information
  • Microsoft Word or computer writing program

Step1
Look at the event information that you have. Read it. What is this event about?
Step2
If the event doesn't already have a formal name or title then make one up that tells the reader what the event is in just a few words. If you were using this listing for a calendar based on events by date, then the date would appear first, and the title of the event on the next line.
Step3
Type this on your computer then press the Return key to go to the next line.
Step4
Next, write the day of the week the event will occur, separate it by a comma, then write the date of the event. For example: Tuesday, Dec. 18. You do not need to put the year, and since December is accompanied by a date (18) you also do not need to type the entire month out. Do not add a "th" to the date. Dec. 18th is incorrect.
Step5
Hit the Return key to move to the next line.
Step6
On the next line, write the time of the event. If you know both the start and end time of the event, write this as 4 - 6 p.m. If you only know the start time then just write that, 4 p.m. You do not need to write 4 p.m. to 6 p.m. as the dash works best, and the fact that the event occurs in the p.m. is already known by placing it at the end number (it makes it inclusive). On the other hand, if one time is a.m. and the other is p.m. you would write both out. For example:
10 a.m. - 2 p.m.
Step7
Use the Return key to move to the next line. Here, type in a short sentence about the event. This sentence should tell us what the title doesn't, who or what will be at the event and why the reader may want to go.
Step8
On the next line, write the name of the place where the event will occur.
Step9
On the next line, write the address of this place without the state or zip code. If the listing is for another state then write the state. Also, abbreviate boulevard to Blvd., street to St. , and avenue to Ave. as they are a part of an address. The rest, such as way or loop, may be left the same.
Step10
On the next line, write the telephone number with area code. The AP format for numbers is 450-555-3829. Though, depending on where you are working, they may have you type the number differently, such as (450) 555-3829.
Step11
You may now choose to move to the next line and add a website address if necessary. Your finished listing should read something like this:

Senior Center Holiday Bingo
Tuesday, Dec. 18
4 - 6 p.m.
Pattie Baker hosts the party with light refreshments, sweets and prizes
Valley Community Center
3445 Community Ave., Newark
450-555-3829

Tips & Warnings

  • Depending on where you are posting the event listing(s) the date of the event and the title may be switched. For example, if a listing is organized by date in a calendar. Otherwise, in a flyer or at the bottom of a story, you may use the title, then the date.
