How to Find Even More Time In Your Work Day

Time is of the essence in any work environment. If you are having difficulty managing your time in the office or you are wondering where all of your time has gone, consider these tips to help you find more time in your work day.

Things You’ll Need:

Step1
Set aside work time where you will be completely undisturbed. Designate an hour or two a day where you do not take phone calls or check emails to get more work done. If phone calls are important to your line of work, consider checking your voice mail messages at the top of the hour during this time for any updates or emergency messages. This "quiet time" is probably best used for larger projects that require intense concentration and should be set during a time in your office where there are not a lot of phone calls or activity going on around you.

For some this is early in the morning, and for others this could be later in the afternoon. If you are unsure, study and observe your office and look for the lulls in the office activity.
Step2
Use time savers wherever possible. Technology has helped us to find ways to save time and increase our productivity at work through electronics, computer software etc. Figure out and make a note of which tools help you to save time and increase your work productivity.
Step3
Use tools to help you manage your time. Some time management tools are calendars, PDAs, planners, etc. Create your own personal system for managing your time. Remember, your system should be simple and easy to use. However, be aware of how much time you spend planning your work day as you do not want to procrastinate and waste time.
Step4
Reduce the number of reading materials you are given to read at work. Limit the number of magazines, newsletters, emails and other forms of publications to read during your work day. Consider speed reading if your job requires a lot of reading. Or, use active reading techniques to get through your reading materials. Read actively by getting an overview of the publication as a whole and then picking out the necessary articles that you must read, while reading the headlines and summary paragraphs of the other articles.
Step5
Time your work breaks. If you plan to spend only 15 or 20 minutes on a work break, use only that allotted time and then get back to work! During your work break, take the time to walk around your work space or stretch. A little movement provides more energy for the rest of your day.
Step6
Limit the time you spend socializing with your co-workers. Explain to your co-workers that you have a lot of work to do, but that you would prefer to socialize during the lunch hour or even after work. Be sure to continue greeting your colleagues in the morning and chatting for a few minutes in the morning when you get your cup of coffee is OK, but be careful to limit your conversations through the rest of your work day.
Step7
Work hard, but play harder. It is OK to play and it helps to relieve stress, but you want to play at the appropriate times. Plan to work hard during the day and then schedule play times for after your work day. Look forward to these times as a reward for all of your hard work and efforts.
