Brainstorm about the event. You need to know the who, what, where, when and why concerning the event before you even start writing the press release. Obtain factually correct yet concise answers to each of those questions.

Use a company letterhead when writing a press release to announce an event. By using a letterhead, it gives the press that receives your release immediate information regarding your company. The company name, company address, contact number and website should be included in the letterhead.

Place the term "PRESS RELEASE" in all capital letters as the first line. This notifies the recipient that this letter is indeed a press release. Also place the name of a contact person in case someone wants further information. The name should be in a prominent location in the release. If the release is for immediate use, indicate that by putting the words "Immediate Release." If it isn't for immediate release, put the date at which the information is to be released.

Bold the headline of the press release. This makes the headline stand out and lets the reader know that this part of the release should garner special attention. The headline should be specific and sum up the main idea of the press release.

Place all the details of the event within the text below the headline. This text is the body of your press release. It's the most important aspect and answers the who, what, where, when and why. Ensure that all important facets of the event are covered and that the reader will have no lingering questions regarding the event.

End the letter by thanking the reader and encouraging the reader utilize the contact phone number if there are any questions.

Submit the letter to the media via email and standard mail. This ensures that your press release gets to as many people as possible.
