Most venues that offer convention space also provide in-house catering services, some of which are better than others. Find out the rules at the venue before you sign the contract. Some hotels require you to only utilize their in-house catering services, while others allow you to bring in outside services for food. Sign only when you have agreed on the catering terms.

Decide on a realistic food budget before you begin the menu negotiations. With a clear idea of what the attendees are wiling to pay for the dinner, you can add extras or scrimp on certain items to stay within that figure.

Ask the caterer for a date and time for when you must place your requested number of dinners. Many convention attendees will want to wait to sign up for the banquet as late as they can. They may register in advance and decide they do want to attend the banquet after arriving onsite. Try to leave room to add on or subtract plates from your order.

Be prepared to pay the catering service in advance for the meals. While you can usually pay for the rooms and venue at the end of the convention, the caterers usually demand payment upfront.
