How to Execute an Event

Event planning is a popular field but its not easy to make a career of it. Planning an event takes a level of preparation and flexibility that few possess. No matter how structured and well thought out things may be, things can always change at a moment’s notice. A good event planner should be able to think and react quickly.

Step1
Create a list of goals for the event. Put this list of goals on a timeline. Start backward from the date of the event and give yourself enough time to complete each goal. Then factor in more time, a cushion, to account for delays and unforseen mishaps. This timeline should never be set in stone. It needs to be flexible in case things change.
Step2
Create a list of duties. Include everything that will make the event a success including, food, music, lighting and a venue.
Step3
Determine your event budget. It’s important to know how much everything is going to cost so you know what to charge for the event. Don't forget to charge for your own time.
Step4
Go through the list and sort the duties into orders of importance.
Step5
Go through the duties and determine the ones you can do yourself and which ones will require help. Be realistic here. Every successful event takes multiple people to execute.
Step6
Build your team. Review your list and designate people to assume each task that requires help. Put their contact information next to their names and verify their availablity. In a second column, compose a list of backup people who can stand in as the need arises. Reach out to friends and associates to find the team you need. Once you’ve exhausted that pool of potentials, post an ad on a job site. If you have to hire people, this should go into the budget.
Step7
Once you’ve built your team, set up a schedule of goals. Let everyone know what must be accomplished by when. Communication is key when creating an event.
Step8
Follow your timeline as closely as possible. If emergencies arise, your builtin cushions should ensure that you stay on schedule. Remain flexible and calm. It’s up to you to set the tone for how things will go during the event.
