How to Use an Access 2007 Lookup List

A lookup list in Access 2007 is a column in a table whose values are retrieved from another table or query. They are frequently used to display a list of choices in a combo or list box. A lookup list may be created manually but you should use the Lookup Wizard to create a lookup column whenever possible. The following steps will show how this is accomplished in Access 2007.

Step1
Start the Lookup Wizard automatically by creating a lookup column in Datasheet view, dragging a field from the Field List to a table in Datasheet View or selecting Lookup Wizard in the Data Type column while in Design View.
Step2
Decide if the lookup column will be based on a data source or if you will enter the lookup values manually. You would normally select a data source if your database has been designed properly. For this example, assume you select this option and press the Next button.
Step3
Look at the list of available data sources the Lookup Wizard displays on the next screen. You may look at queries only, tables only or both data sources. Select a table or query and press the "Next" button. The Lookup Wizard will display the list of available fields for that data source.
Step4
Select the fields you wish to use in your lookup column and click the "Next" button. The next screens will provide the option of sorting the list. Click the "Next" button when you are finished with each screen for the sort options.
Step5
Choose the field that will provide the value in the lookup column and click the "Next" button. Enter the name for your lookup column on the final screen of the Lookup Wizard and click the "Finish" button.
