How to Reduce Communication Errors

Accurate communication encompasses the expressive skills of the speaker and the receiving skills of the listener. Frequently, we think so much about getting our message across that we don't think about what we can do to reduce the possibility of communication errors. Since we can only control our expressive skills, we must hone these skills to increase the chance that the listener understands our message precisely.

Instructions

1. Ask the listener to repeat the message back to you, especially during telephone conversations. In phone communication missing cues such as gestures and facial expressions increases the chances of a misunderstanding.

2. Check the understanding of the listener. Stop at regular intervals in the conversation and ask if the information is helpful or if they have any questions.

3. Summarize your main points. When giving instructions or providing an explanation, you can increase the listener's understanding by repeating your key ideas.

4. Communicate in language tailored to your audience. You must use easy-to-understand language when explaining technical terms to a lay audience.

5. Make eye contact with the listener. This is especially salient if you're communicating with someone who has a hearing disability. If an interpreter is present, you should still address the person with the disability directly.

6. Determine if someone can speak freely on the telephone. If discussing a personal matter and the listener tells you they have no questions ask him if he is alone. He may wish to continue the conversation when he has privacy.

7. Use culturally sensitive language. If speaking to someone with an accent or a different appearance, you could unintentionally offend them by asking them about their ethnic background. Stick to relevant communication to get your message across effectively.
