How to Use Lotus Organizer

Lotus Organizer has a calendar, contact list, and to-do list. It tracks websites and phone calls. The Lotus Organizer resembles a bound paper datebook, with dividing tabs and pages that "turn." This feature makes it easy to access and use.

      Establish category names so you can sort your entries by category. For instance, if you want to assign a category to inactive clients, you can print a list of only these clients. You can also make a list of cost codes if your business assigns a cost code to each task.

      Enter your appointments, contacts, web pages, tasks to complete and calls to make, assigning a category to each entry.

      Link your entries. For example, if you have a call to make, link that call to the name of the person you're calling in the contact list. As you're dialing the phone, you can quickly access the contact's information. If a task on your to-do list involves looking at a website, you can link the two together; the website will appear when you click on the task.

      Keep miscellaneous information you need in the notebook section. Link this information to clients, web pages, appointments or tasks as appropriate.

      Allow your to-do list, anniversary list and calls to show through onto your calendar page so that you always have this information in front of you.

      Share your organizer on your network so your assistant or colleagues can view your schedule. If you have items you don't want others to see, check the "Confidential" box when making the entry.

      Import information from other applications by choosing the application from which you're importing or by formatting the information as a text file before importing. For instance, you can import your contact list from another application rather than retype it.

      Customize Lotus Organizer. You can choose how many days of the week to show on a calendar page, what time your work day starts and ends, how much contact information to show and how information in your notebook will be arranged.

      Print your schedule for the day or week and take it with you when you leave the office. You can also post your schedule or give it to your assistant.

      Set up meetings by choosing a date and time, making a list of those who should attend and then sending a meeting notice so others will add the entry to their own calendars. Lotus Organizer will also scan for meeting notices from others and enter them onto your calendar.

  • If you use your computer to make calls, Lotus Organizer will dial the call and track the time spent automatically.

  • Keep Lotus Organizer open and work from within the application frequently so you can stay organized. Lotus Organizer has its own browser and email features.
