How to Buy Healthcare Applications

Hospitals, nursing homes and various other healthcare facilities are challenged with the task of implementing new software as legacy programs become obsolete. With this challenge comes a million ideas about what the new application should do. Purchasing a software solution in most organizations will become a group effort. As long as there is compromise, a viable solution can be reached.

1. Hire a Project Manager or elect an internal employee to be the chair of the project. It is crucial that day-to-day accountability related to acquiring the software rest with one individual. That individual must fully understand his or her goal and be an excellent communicator.
2. Interview stakeholders. This includes front line users at the receptionist desk, doctors, nurses, financial officers, billing department and any other set of users who will use the product at any level. Ask them what they will need from the software and ask for ideas about best practices related to any potential software.
3. Compile the needs of the stakeholders into a Request For Proposal (RFP) and invite vendors to set up demonstrations for their software. Make sure that representatives from each of the stakeholder groups are present at the demonstrations.
4. Determine top five to t10 vendors and invite them back for a more interactive demonstration. Create a survey based on user needs for each stakeholder to use to rate each software product. Compile the results of the survey.
5. Weigh the costs of each vendor product against the results from the survey. This should yield two to three top players. Meet with senior management and the stakeholder representatives to determine the best overall product for the organization.
