Act on the Complaint in Person
Step1
Decide what the actual problem is, your chief complaint, and how you want the problem solved.
Step2
Contact the provider of the service to let them know of the specific problem.
Step3
Be polite when contacting the provider. You also need to speak clearly.
Step4
Put your complaint in writing if you do not receive the response you are seeking when speaking with the provider in person or on the phone.
Step5
Know what you are entitled to and how to pursue the matter if you receive no satisfaction from your verbal complaint.
Act on Your Complaint Through Writing
Step1
Write exactly what the problem was and explain when and where it happened. Give as many specifics as you can. If you can, pinpoint the exact time of the event as well as the date. Detail how you want the situation rectified. Do not wait to write your complaint. The more time that passes the less chance you have of getting a satisfactory resolution.
Step2
Make a copy of the letter before you send it and keep it for your records.
Step3
Know what you are entitled to and how to pursue the matter if you receive no satisfaction from your written complaint.

on 1/1/2008 I agree that one of the key steps here is to decide in advance what you want done about the problem. Just complaining -- without any idea what you want changed -- is jut an exercise in futility. Good article.
