It's pretty easy to find where Outlook stores it's files.

Instructions

Difficulty: Easy

Step1
Open Outlook
Step2
In the All Mail folders, right click on the topmost folder (or the one that you want to locate - you can have more than one open)
Select the last item: Properties for XXXX
(Where XXXX is the name of the mailbox)

The Properties dialog should open.
Step3
Click on the Advanced button.

If the top of the dialog says "Microsoft Exchange Server" - then the mail is stored on the server, and is NOT STORED AT ALL ON YOUR MACHINE.
Step4
If, on the other hand you have a folder that is on your local machine, the 2nd box from the top, called 'filename' will show you where the file is.
Step5
If you want to change your e-mail to be stored locally instead of on the server. Do the next steps:
Step6
Open Outlook
Step7
Click on the menu: File / New / Outlook Data file

Select the type of file you want (the default should work for your version of outlook)

Click OK
Step8
Select the location and filename for the file. You can put it anywhere you want. Click OK
Step9
Now go to the menu: tools / e-mail accounts.
Click next (to accept default of edit/view e-mail accounts)

Select the account at the top, and then near the bottom is says:
Deliver new email to the following location:

Select your new file for this location.
Step10
Click Finish.

You can now drag your folders contents from the "Mailbox - Your Name" folder (on the server) to the folder that you just created below that. (on your machine)

Tips & Warnings

  • this should work for any version of Outlook through 2003 - and likely beyond.
