You may not ever get around to all of the capabilities a powerful program such as Excel offers. An example of one such feature is graphing. You can make many graphs, but a favorite of many people is the circle graph (often called a pie chart). Follow the steps below to easily prepare a circle graph of your spreadsheet.

Instructions

Difficulty: Moderately Easy

Step1
Open your Excel program and select the file you want to graph. Having made one graph, all you have to do is change the style of the graph to make it another form of a circle graph.
Step2
Choose "Insert" then "Chart." From this point, you can make a common pie chart, exploded pie chart or a doughnut graph.
Step3
Select the pie chart option. Hit the "Next" button. The data range tab is pre-selected. Using your mouse, select the numerical data range you want to use. This will put that information in the blank that pops up after you choose "Next." You will see a pie chart with the selected data.
Step4
Pick the "Series" tab. Click into the box that appears stating "Name." Using your mouse, select the cells you want to use as the name of the graph. Next, click the icon on the right of the box that has appeared at the top of the screen.
Step5
Opt for the Excel icon that is by the wording, "Category Labels." Once you choose the cells that contain the wording you want, click the icon that is in the box at the top of the screen. This action will add the wording you chose to the legend. Click "Next" to continue. Now, click "Next" one more time to choose the location in which you want the circle graph to appear. Now, click "Finish."
Step6
Double-click the circle graph, and you will be able to customize it. Choose "Value," then "OK," and you will have the value of the data information visible on the graph. Select "Percentage" and you will have the percentage of each value in the total graph showing. You will probably only need one of these options, but you can select both.
Step7
Change the look or format of the graph by clicking on any of its elements. Choose the legend, circle graph or outline of the graphed area itself in order to change the font, placement or style. To change the type of graph, place your mouse over the circle graph and right-click it. Next, choose another type of graph.

Tips & Warnings

  • The legend color codes the label names to the coloring of the circle graph.
  • If others will be using the computer and have access to this file, you might want to put a password on it.
  • Once your graph is set up, you can make it into another type of graph with the same data still intact.
