How to Create a Label in MS Word

There are a variety of uses for printed labels such as mailing addresses, return addresses, file folder identification tags and report covers. Microsoft Word's label feature allows you to quickly format text into any standard-sized label. Using the label feature saves time and produces a professional result.

Instructions
  1. Step 1

    Purchase labels in the desired size. Look at the box to determine the product number because you will need this information later.

  2. Step 2

    Open Microsoft Word. Start a new document. On the main menu, click "File" and then "New."

  3. Step 3

    Click "Tools" and then "Envelopes and Labels." A new window will appear in the center of the screen. Click the tab that says "Labels."

  4. Step 4

    Select the label size. Click the "Options" button. Look at the drop-down menu that says "Product Number." Scroll down until you find the product number of your label. Click the text and then click "OK."

  5. Step 5

    Type the text or cut and paste text into the blank Address field from a different Word document. To generate a full page of the same label, click the "New Document" button. To generate a single label, click the "Single Label" button located under the Address field and then click the "Print" button to print the label.

Tips & Warnings
  • When generating a full page of labels, print a test page first on paper. Hold the paper up to a sheet of labels to ensure the text matches up properly. This saves money by minimizing wasted labels.
  • The Microsoft Word label feature can also generate postcards. Follow the same process and select the appropriate postcard size in step 4.
