Step1
Identify your seminar topic to help you assess your needs. If this is a product information seminar, your list will include product demonstration needs. If you are educating the attendees on a specific topic, your list may include posters production to support your message with a visual.
Step2
Include venue selection, budgeting and equipment and furniture rentals on your list. Knowing the expectations for participation and event layout will help you in making these decisions and checking off these items on your checklist.
Step3
Incorporate vendors on your list. Depending on the length and extent of your seminar, consider whether you need to hire a caterer, florist, technical support, event manager and temporary staff. Include the food and beverage requirements on your checklist, including serving utensils.
Step4
Add registration details, advertising and public relations needs and sponsorship requirements to your list.
Step5
Record your seminar layout for seating, podium location, staging, AV and other related details. Remember to mark registration needs on your list as well. This could include a registration table, signs and more.
Step6
List your presentation requirements such as LCD projectors, cabling and electricity, projection screen, laser pointer and of course, the electronically displayed presentation itself.
Step7
Write down the materials the attendees should receive upon arrival such as a manual, hard copy printout of the presentation, notepad and pen, marketing materials, contact information for the speaker, a seminar feedback survey and more.
Step8
Make a miscellaneous category on your checklist for extra details you make remember along the event-planning road. This could include anything from a bottle of water at the podium for the speaker to name tags or the registration roster.
