How to Create a Field for Hyperlinks in Access 2003

Fields with hyperlink data can be a little complicated sometimes, but they do not need to be. When you enter the hyperlink directly into a datasheet, the text will turn into a hyperlink. This is the blue, underlined text that you click to take you to the site that the hyperlink refers to. These steps will help you to create a field for hyperlinks in Access 2003.

      Open the Access 2003 program. Select "File." From the "Open" drop-down box, select the Access datasheet.

      Place the datasheet in "Design" view. Click the location of the new field for the hyperlink.

      Click the "Insert Rows" button. The other field(s) will move down to make way for the new field.

      Name the new field that you just created. This is the information that will show when you are entering new information.

      Select "Hyperlink" as the data type for the field. Write a brief description for the data to be included in the field. Now, return to "Datasheet" view.

      Right-click the "Hyperlink" field. Now, choose "Edit Hyperlink" from the menu.

      Use the buttons on the left side of dialog box to select the kind of information that you will be entering into the hyperlink field. Select "OK."

Tips & Warnings

  • Use the "Edit Hyperlink" dialog box to enter e-mail addresses.

  • Be sure to save your work.

  • Access will automatically put http:// in front of the text; this will not open a new e-mail message window.
