How to Create a Field for Currency in Access 2003

A currency field is needed when a price is desired in a record. When using currency fields, Access 2003 is able to calculate totals, subtotals and averages. These steps will help you to create a field for currency in Access 2003. If creating a new datasheet, skip to Step 4.

    • Computer with Access 2003

        Start the Access 2003 program. From the "File" drop-down box, select "Open." Click on the datasheet you are modifying.

        Find your "Currency" field. In "Design" view, place your cursor on the location for the desired currency field.

        Click the "Insert Rows" button. The other field(s) will move down to make way for the new field.

        Name your field in the first column. This is the field that you see when inputting data. This would be the "Price or Cost" column.

        Select the "Currency data-type" from the drop-down box in the second column. Choose the field size and format that best suits the purpose.

        Write a description for the data that is in this field. Return the sheet to "Datasheet view."

    Tips & Warnings

    • Access drops any leading zeros in a currency or number field.

    • Access allows values to be sorted in ascending order, as long as they are in a number field and not a text field.
