Get your hands on your owner’s manual. This booklet will have tons of information that can help you troubleshoot any problem you have with your machine. Don’t have your manual? A trip to your manufacturer’s Web site will fix that. You can download a copy for no charge.

Clean your fax machine. The first thing you need to consider is that your machine might simply be dirty. The place where the paper goes through the machine is where the document is read. You need to make sure that there is nothing obstructing the "flow" of information. Buy some canned air and clean everything you can.

Check for any stray pieces of paper. Ensure that there are no little pieces of paper in the way of the document. Even little pieces will make trouble.

Use good quality documents to send. Make sure that the document you are sending has dark enough letters and no stains. Also, crisp paper will make it go through the machine with no hang-ups.

Use the owner’s manual to see if there is anything you can do to boost the quality in the software of the machine. There might be settings that you can change to make the scan or print better. Each fax machine is different, so this is where the owner’s manual can have some information for you.

Send someone a fax. Look at a fax that you have sent. Make sure everything looks good.
