Things You’ll Need:
- Toll-free voice system with auto-attendant
- Information about your business or what you plan to market
- A diagram of your call flow
- All messages to be recorded written out
- A forwarding number
- Email address (optional)
- Test your service
Step1
Research online for toll-free voice mail with "auto attendant" or "virtual attendant."
Step2
Sign up for the service and pick a plan that will be suitable for your needs.
Step3
Decide what specifically you want to market. Do you want to have recorded information about your product or service? Do you want them to leave an order in response to an ad?
Step4
Write out a diagram of the call's flow. For example, a caller dials 1 for sales. They are then placed on-hold with music, while the Sales mailbox calls your cell phone to transfer the caller to you. The call is announced to you and if you choose to accept the call, dial 1 and begin speaking. If you do not answer your cell phone or choose not to answer the call, the caller is sent into the Sales mailbox voice mail. When a message has been left, the Sales mailbox can notify you of the message instantly by calling you, emailing you the message in audio format, and/or paging you.
Step5
Next you will need to write out exactly how the message will sound. You will be recording the calls' flow and you don't want to mess up.
Step6
Program your forwarding number if you wish to take calls as they come in or set up a email box to receive your incoming messages.
Step7
Test your service by calling your number and listening to the call flow. Make sure it is exactly as you want it.
Step8
Let people know and begin to market your business!
