The VoIP (Voice over Internet Protocol) service providers employ a variety of features in their calling plans. One of the required features by any customer is voicemail service. The VoIP providers have understood this need and have included this feature free in their standard monthly plan. The methods for setting up, retrieving and forwarding voicemails have minor variations depending on the VoIP service provider.

Instructions

Difficulty: Moderately Easy

Step1
Go online and visit websites of many VoIP service providers. You will have to decide on buying a service first before getting a voicemail in your VoIP connection. A majority of premier companies provide this service free along with modest rates on their monthly plans.
Step2
Set up your voicemail. Your VoIP installation and set-up manual provides this valuable information. Depending on the service, you can follow the directions and set up your voicemail service.
Step3
Learn different ways to set up the voicemail.
Step4
Set up voicemail from the primary VoIP telephone by dialing *123 or other codes as provided in the manual. An attendant will respond and allow you to retrieve all new and old voicemails. You can delete old messages.
Step5
Retrieve voicemail by calling the number where the VoIP instrument is connected. You can call from any phone, dial the password and access your voicemail box. The only information you need is your VoIP phone number and a unique password.
Step6
Use the online management service to access your voicemail via emails. Visit the VoIP provider’s website and register your name. The service is only available to VoIP service subscribers. Choose a username and password. Login the system. Click on the Voicemail tab and you can listen to your voicemails through the Internet. Learn ways to forward voicemails as email attachments.
Step7
Subscribe to the Voicemail alert service. You can receive an email whenever someone leaves a voicemail for you. Confirm with the provider about this service. The voicemail is sent to you as an attachment in an audio format. The best part is that you can save the voicemail on your computer and delete it from the box to free up memory space.
Step8
Contact the VoIP provider’s technical assistance team in case you have trouble setting up the voicemail using any of the above methods.
Step9
Ask about the free service fee. Some providers may offer very cheap VoIP connection but may charge you for the voicemail service.
Step10
Buy speech recognition software that converts voice to text. You can covert long voicemails into text and share it with your business colleagues. This way you also free up valuable space on your phone equipment as well as your computer hard drive.

Tips & Warnings

  • Customize your voicemail box options. They may vary depending on the VoIP service provider.
  • Install a greeting. Include your name and request callers to leave a message when recording a greeting. Keep your greeting message short with clear speech. Avoid loud and long greeting for business purpose.
  • You must update your mailbox regularly by deleting old messages and saving important ones on your computer. If your voicemail box is full, the caller will not be able to leave a message.
