How to Create a Microsoft Access Field for Hyperlinks

By inserting hyperlinks in a database, you can jump to another location in the database, to another file in any MS Office application, or to an address on the Internet or a company's intranet. You can insert a hyperlink field in either Design view or Datasheet view. These instructions are for MS Access 97.

Instructions

Difficulty: Moderately Easy

Things You’ll Need:

Design View

Step1
Open a table in Design view.
Step2
Click in the field directly underneath the location that is to contain your new hyperlink field.
Step3
Click on the Insert Row icon in the toolbar, or open the Insert menu and choose Row. A new row appears.
Step4
Click in the Field Name column. Name your new field.
Step5
Click in the DataType column to the immediate right. An arrow appears.
Step6
Click in the arrow. A menu appears.
Step7
Select Hyperlink.

Datasheet View

Step1
Open the table in Datasheet View.
Step2
From the Insert menu, click on Hyperlink Column. A new column appears.
Step3
Move your column to the location you want.
Step4
Enter hyperlinks in your new fields.

Tips & Warnings

  • If you create a table by importing data, MS Access will not convert any column to a Hyperlink field unless EVERY value in that field begins with a recognized protocol prefix (such as http: or \\).
