Use records in different reports by utilizing queries.

Print one record as two reports in your database software. Relational databases allow you to use records in a variety of relationships. Each record is stored in a unique table, but can be used in a multitude of other objects. Use the same record in multiple queries, forms and reports based on their content and organization. Print a single record in different reports by using the record in different contexts.

Instructions

    • 1

Create a new query based on the record and add any related tables to fill in additional information. Filter the data from the record's primary key. For example, if your record is a sales transaction, include the customer information from another table to provide additional data.

    • 2

Create another query based on the record in a different context. In the sales transaction example, create a second report that includes the sales associate information from an employee table. Filter the data based on the primary key and save the queries.

    • 3

Create a report based on your first query and then create a report based on the second query. Keep the text color, size and font consistent for a professional look. Print the two reports to create two documents based on a single record.

Tips & Warnings

  • If one isn't present, create a primary key field for your record to make sure it is uniquely identifiable. Each record should have a separate combination of letters and numbers that identify it. Primary keys allow you to quickly filter for each individual record.
