How to Use the Layout Editor in QuickBooks for a Mac

To customize invoices, sales receipts, estimates and other forms in QuickBooks for Mac, use the program’s Layout Designer to edit the templates to fit your needs. Layout Designer lets you add data fields, images, text and other elements to give your forms a more professional look.

      Choose the form you wish to customize by opening the form in the “Customers” or “Vendors” menus. For customers you can select invoices, sales receipts, estimates, refunds or statements, and purchase orders for vendors.

      Select a template from the form’s pop-up menu. In the new window, click “Customize.” The template shows on the left, a formatting palette in the center, and the fields window on the right.

      Select fields you want to display by marking checkboxes next to each field’s name, one box for the field to appear on the screen, and another checkbox for the field to appear when the form’s printed. Layout Designer groups the fields into sections for “Header,” “Fields,” “Footer” and “Columns.” You can change a field's name, if you wish, such as change “Rate” to “Charge.” Some fields, however, can’t be removed, depending on the form. Once selected, the field appears in the template window.

      Select and move a field in the template to where you want it to appear on the form. You can resize and format the field with the formatting palette.

      Click on the “Add Image” button to add logos, background graphics or other images. A window opens to let you find the image on your computer and import it into the Layout Designer. QuickBooks’ layout designer accepts PDF, GIF, TIF, JPG, BMP, PICT and PNG formats. You can move, resize and format the image once imported into the template similarly to adjusting fields.

      Click the “Text,” “Box,” “Text Box” or “Line Button” to add those elements to the template. Besides resizing elements by dragging the square handles on selected items, you move and reorder columns by dragging them to new locations.

Tips & Warnings

  • Other Layout Designer features include the ability to add a start-up stamp on certain forms, such as “Paid” or “Pending” on invoices. You can customize the Layout Designer toolbar from the “View” menu, and show or hide rulers, grids and margins.
