How to Configure Temporary Labor Rates With a Vendor Management System

A vendor management system (VMS) is a software program that helps companies fill temporary staffing positions. In addition to facilitating the acquisition of staffers, most VMS programs track the cost of temporary staff positions and integrate data from these positions into company databases. While a VMS can help you configure temporary labor rates, as with any software program you must enter all of your required data before the VMS can assist you. After analyzing the appropriate data either from the VMS or in your own company records, you can enter your desired temporary labor rates into the VMS for future use.

Instructions

Select the best VMS for your company. Many different vendors offer vendor management systems. The appropriate one for your needs may vary based on the cost you can afford and the extent of the services you need. For example, your company may prioritize online time tracking or efficient management reporting over online job management or an automated on-boarding system. Your priorities will help dictate your VMS selection. Other considerations include the efficiency of the technology platform -- including its ability to handle a hierarchical multitenant structure -- and the convenience of the system in terms of ease of use and access to online training and demos.

Determine the temporary labor rates that are appropriate for your company. Before you can enter a labor rate for the VMS to process, calculate the appropriate rate for your company based on past hiring patterns, current needs and availability of finances. For some companies, the temporary labor rate will stay relatively consistent over time. If your company has a fluctuating need for workers, you will have to calculate a new temporary rate whenever you use your VMS to find new temporary workers.

    • 3

Enter your list of approved vendors into the VMS. When properly set up, a VMS will only contract temporary labor through approved vendors. Once you initially approve and submit your list of vendors, future procurement of temporary labor will be much more efficient through the VMS, as you only have to research and select vendors once.

Confirm the labor rate of your vendor-supplied workers. Once you enter the appropriate data into your VMS, your approved vendors should procure laborers at your preconfigured rate automatically. Review the response from your vendors that the VMS will provide you with to confirm that the temporary labor rates were correctly configured.
