Adding a Caption to PowerPoint

Microsoft PowerPoint allows you to add captions to slides, enabling you to write subtitles for videos and add written notes to the presentation. This also allows you to prepare presentations for people with hearing disabilities so that they can interpret the information with the captions at the base of the page. Additionally, captions enable you to do the presentation on a system that doesn't have audio.

      Open the document to which you want to add captions.

      Click on the "date," "footer" and "page number" placeholders from your slide master. Click on them and delete them one by one to free up space for your caption placeholder.

      Click on the "Slide Master" tab, and select "Insert Placeholder." The size of the placeholder should be .75-inch by 10 inches.

      Uncheck the "Bullet Points" and "Tab Stops" options.

      Select a clear font such as "Arial" set to "12 pt."

      Click on "White" as the text color and "Black" as the background fill.

      Click on the edge of your placeholder. Move it to the base of the slide using the arrow keys.

      Select the "Rectangle" tool, click on the workspace and drag a rectangle the same size and shape as the placeholder. Drag the rectangle to position it behind the placeholder.

      Repeat creating a placeholder on all slide master layouts to be used in your presentation.

      Click on the "Animations" tab and then "Custom Animation."

      Click on the drop-down menu, and designate "Effect Options." Change the setting to "Locked" in the "Up" dialogue box, and uncheck "Smooth Start" and "Smooth End."

      Change the "After Animation" drop-down menu to "Hide on Next Mouse Click."

      Click on the "Text Animation" tab.

      Designate "Group Text" as "All Paragraphs At Once" and uncheck "Animate Attached Shape." Click "OK."

      Drag the red arrow on the screen into the center of your background rectangle.

      Click on the side of the caption placeholder. Click on the "Edit" menu and hit "Copy."

      Enter the "Edit" menu again and hit "Paste."

      Position the new placeholder directly below the first. Add as many caption placeholders as you need.

      Type your text into each of the caption placeholders. Take care not to place too much text in any placeholder because the text will decrease in size.
