Organizing a Job Fair
Job fairs bring employers and job-seekers together in a single location to speed up the employment process. While many organizations find their employees through online job advertisements, others prefer to fast-track the recruitment process with job fairs. To organize a job fair, you must recruit the employers as well as the job-seekers. Accomplish this task by making early arrangements and using effective promotional methods.

Set a date for the fair well in advance to give employers time to prepare their booths and job-seekers time to schedule the event on their personal calendars. Publicize the date of the fair at least a month before the event to give enough time for everybody to schedule it. Do not set a date several months into the future because many prospective job-seekers will already have other jobs by the time the fair takes place.

Invite employers to attend your job fair. Contact organizations relevant to a particular field, such as education, health-care or government, or a particular career stage, from entry-level to executive positions.

Research potential schools, buildings or grounds where you want the job fair to be located. Compare prices and determine which location stands the best chance of attracting potential job candidates. If the job fair is located on a college campus, this will mostly attract current college students and graduating seniors. A non-college location would be more appropriate for a job fair with employers looking for candidates beyond entry-level. Make sure there is enough room for all employers to set up their booths comfortably. Each employer should have enough room for three stools to be placed out in front of the booth to greet job-seekers.

Entice job-seekers to the job fair by making it easy and convenient for them to attend. Allow the fair to run for several hours to make it possible for everybody to attend. Think in terms of convenience for job-seekers to attract as many as possible. A location with free or cheap parking will help attract more candidates. Take into account common work schedules of job-seekers: schedule the job fair on a weekday evening or during the day on a weekend.

Promote the fair to potential job candidates. Pass out fliers, advertise in the local newspapers and on Internet job boards. Include a list of participating employers on your Internet ad, along with links to their official websites. The whole purpose of having a job fair is to help employers find talent for their organizations. Attracting the talent to your job fair should be one of your top priorities.

Sign on a media partner, such as a radio or television station, to promote your job fair. They will publicize the event to their listeners, viewers or readers in exchange for money or possibly for publicity. Incentivize media partners to participate by offering them a free booth at the job fair to gain publicity.
