How to Formally Refuse a Job Offer

If you have been offered two or more job opportunities, you will have to turn down one or more of them. It is important to be courteous and professional during such circumstances. Keeping a good relationship with these companies will bolster your career chances in the future, especially if it's within the same industry of your chosen job offer.

Contact the company. Speak to the manager that offered you the job, and politely decline the offer. If he asks for reasons, simply state that you have been given an alternative that offers higher benefits. The company may even increase their offer in terms of salary if this is the case. Try to contact them at the earliest time possible. Remember that companies tend to have an alternative second if the first applicant declines. Contacting them swiftly will reduce the possibility of the hiring manager becoming annoyed with the wait.

Follow up the telephone call by writing the company a letter. As time is not a factor, normal mail is a better alternative to email. By sending the company a printed letter, it is more likely that they will file away the letter for later reference. Reiterate your reasons for declining the offer in the letter. Towards the end of the letter, state that you will be happy to remain in touch with the company.

Keep in casual contact with the company. If you ever find yourself unemployed as a result of your current company going under, you could always try your luck with the first company. If they had offered you a job in the past, they will almost certainly offer you a job in the future if a suitable position arises.
